POSITION OBJECTIVE: Provide administrative and clerical support to the School’s administrative and educational staff.

 

QUALIFICATIONS:

Ø      Must be computer literate and word process with speed and accuracy

Ø      Ability to operate a variety of office equipment and software

Ø      Health and Safety Training (Current First Aid & CPR certification, Blood borne Pathogen training, TB Clearance)

Ø      Excellent communication and organizational skills

Ø      Experience working in an office setting, preferably in an educational setting

SALARY AND HOURS: This is an hourly, eleven month position.  The position will be five days a week and approximately 30 hours per week. Hours and calendar will be determined by the School’s office hours.  Hourly compensation is determined by skill level and years of experience and Journey School Salary Schedule.

 

KEY RESPONSIBILITIES:

 

1.      Administrative:

Ø      Abide by Journey School Professional Standards

Ø      Create documents using a variety of software programs

Ø      Maintain master files both in paper and electronic formats

Ø      Word process/type with speed and accuracy

Ø      Variety of clerical duties such as phone duty, filing, copying, stocking handouts, etc.

Ø      Other duties as assigned

 

2.      Attendance clerk responsibilities:

·        ADA recording on paper and in computer

·        Enrollment and attendance reports and records

·        Verifying absences

·        Maintaining other attendance paperwork

 

3.      Student Information System (Aeries)

Ø      Maintain and update Aeries

Ø      Reports as requested

Ø      School directory

Ø      PreID files for STAR

 

4.      Student records Custodian

·        Maintain and update student cumulative records

·        Enrollment document and educational documents for student records

·        Requesting/creating/receiving/sending out cum records

·        FERPA issues

 

5.      Receptionist duties

o       Release children during school day into custody of parents

o       greeting parents and children,

o       taking and relaying messages,

o       scheduling appointments,

o       referring community members to appropriate staff member

o       Student sign in/sign out

o       Tardy slips

 

6.      Office Management

·        Track and order office supplies within approved budget

·        Supervise office volunteers

·        Submit work orders to district

·        Delegating tasks to volunteers

·        Other duties as assigned

 

7.      Health and Safety and Emergency Procedures

Ø      First Aid as necessary

Ø      Make emergency contacts when needed

Ø      Contacting district nurse for variety of health related issues

Ø      Student immunization record keeping

Ø      Implementing responsibilities under School Emergency Plan

 

8.      School Community

·        Assist with enrollment as requested

·        Distributing school newsletter and school communications

·        Contributing to school newsletter creation

·        Maintain school marquee

·        Campus and office cleaning duties, including restrooms

·        Logging and supervising students sent to office for discipline issues

·        JASP help if needed

·        Coordinate field trip permission slips

·        Working with parent community on community events as needed

·        Other duties as assigned
